Role Summary:

Responsible for the advanced administrative support to the Chairman and CEO as well as other members of the Executive Team in a fast paced, multi-division environment. Performs various administrative and coordination duties to ensure the efficient operation of the Office of the President. Assists with research and analysis; prepares reports and presentations; makes recommendations; and, performs other assigned projects. This individual often acts with limited supervision and is required to make independent judgments.

General Responsibilities:

  • Communicate directly, and on behalf of the Chairman and CEO, with Board members, vendors, customers, associates, and others, including  business, government and community leaders, in order to ensure the smooth flow of events and information
  • Manage and maintain the executives’ schedule, including making appointments, arranging travel and establishing agendas
  • Plan, schedule and arrange company events, conferences, group or large company meetings
  • Read and analyze all incoming correspondence, submissions, and reports to determine their significance and plan their distribution
  • Help gather and display departmental metrics for key performance indicators
  • Write and send thank you notes, help with organizing birthday breakfasts / lunches, generally add positive attitude to the team
  • Compile and analyze complex information for inclusion in reports or presentation materials, prepare charts, graphs and tables as necessary
  • Compose, transcribe, prepare and type drafts, articles, reports, proposals, charts and a variety of correspondence for word processing, presentation, database, and spreadsheet applications
  • Gather data, stay current on news articles relevant to the industry and highlight interesting articles to the CEO
  • Proofread and edit all drafts and final materials for appropriate and consistent content, format, punctuation, spelling and grammar
  • Prepare and reconcile expense reports, process credit card statements and invoices
  • Assist in the preparation of responses to correspondences, calls or other communications
  • Maintains all data and filing systems for the Chairman and CEO
  • Practice safe working habits – Proactively identifies and brings to the attention of supervisor any safety concerns or violations
  • Maintain department attendance data as required
  • Participate and support Cascade Enterprise System (Lean) activities
  • Participate in lunch coverage rotation for front desk reception

Minimum Education, Experience and Core Competency Requirements:

  • High school diploma or equivalent with related certificate
  • 3+ years related experience
  • Strong attention to detail with high emphasis on accuracy
  • Strong verbal and written communication and presentation skills, with the ability to successfully communicate with all levels of an organization
  • Ability to edit for grammar, spelling, and other content
  • Demonstrated time management and organizational skills – experience in coordinating various activities and ability to manage multiple activities/projects simultaneously
  • Strong customer service skills
  • Strong Microsoft Outlook, Word, Excel and PowerPoint skills
  • Ability to understand and execute the above referenced systems
  • Independent, self-motivated, proactive and resourceful; needs to work under minimal direction
  • Understanding of the interactions within the West Michigan Business, Political and Social Services community

Preferred Education, Experience and Core Competency Requirements:

  • Associate’s degree in Business Administration or certificate in Business, with 3+ years related experience
